1. Introduction
QuantumLoopLabs LLC ("we," "our," or "us") operates the FieldTempo platform (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. By accessing or using the Service, you agree to the collection and use of information in accordance with this policy.
We act as the business responsible for account, billing, support, security, and marketing data. When a FieldTempo customer enters information about its clients, workers, jobs, or properties, we generally process that information on the customer's instructions. The FieldTempo customer is responsible for its own notices, permissions, and responses to privacy requests concerning that data.
2. Information We Collect
2.1 Information You Provide
- Account Information: Name, email address, password, and organization details when you register.
- Signup Form Entries: If you begin creating an account but do not finish, we may retain the email address you entered on the signup form (and, where present, the advertising-campaign parameters from the page URL) so we can understand signup drop-off and follow up on interest in the Service. We do not add these addresses to any marketing list. You can request deletion at any time using the contact details in Section 11.
- Billing Information: Payment card details are collected and processed securely by our payment processor, Stripe. We do not store full card numbers on our servers.
- Business Data: Client records, property information, job schedules, estimates, invoices, and team member details you enter into the Service.
- Photos: Photos you capture with your device camera or choose from your photo library to attach to jobs (for example, before-and-after photos). We access the camera and photos only when you choose to add a photo; these images are stored as part of your business data.
- Communications: Information you provide when you contact our support team.
2.2 Information Collected Automatically
- Log Data: IP address, browser type, operating system, referring URLs, pages visited, and access timestamps.
- Device Information: Device type, unique device identifiers, and mobile network information.
- Cookies and Similar Technologies: We use essential cookies and browser storage for authentication, security, preferences, and consent records. Google Ads, Meta Pixel, Rewardful, and advertising attribution storage load only after you accept optional tracking. See our Cookie Policy for details and controls.
2.3 Location Information
If a team member's organization enables live location tracking, the FieldTempo mobile app collects the precise (GPS) locationof that team member's device, but only while they are clocked in to an active job. This includes collecting location in the background (while the app is minimized or the device is locked) for the duration of the job, so the business can keep seeing live progress even when the team member is not actively using their phone. On Android, background location collection runs as a foreground service with a persistent notification while it is active.
- When it is collected: Only while a team member is on an active shift/job that their organization is tracking. Location is not collected when they are off the clock, and collection stops as soon as the job ends or they clock out.
- Why we collect it:To show a team member's employer their live location and route progress during active jobs (dispatch, ETAs, and route optimization), and to associate completed work with where it was performed. We do not use location data for advertising, and we do not build advertising profiles from it.
- Who it is shared with:Location is shared only with the team member's own organization (its owners, admins, and dispatchers) within the Service, and with our infrastructure providers solely to operate the Service. We do not sell location data or share it with third parties for their own purposes.
- Your control:Collecting location requires you to grant your device's location permission, which you can decline or revoke at any time in your device settings (doing so disables the live-tracking features). Organization owners can turn live location tracking off for their entire account.
3. How We Use Your Information
- To provide, operate, and maintain the Service.
- To provide live location, dispatch, ETAs, and route optimization for field team members during active jobs, when enabled by their organization (see Section 2.3).
- To process transactions and send billing-related communications.
- To send administrative notifications such as security alerts and support messages.
- To respond to your inquiries and provide customer support.
- To monitor and analyze usage trends to improve the Service.
- To measure the effectiveness of our marketing, and to show FieldTempo ads on Google and Meta platforms to people who have visited our public website (see Section 4b).
- To detect, prevent, and address fraud, abuse, or technical issues.
- To comply with legal obligations.
4. How We Share Your Information
We do not sell your personal information for money. We do share limited online identifiers with advertising platforms for advertising measurement and retargeting as described in Section 4b. Some U.S. state privacy laws classify that activity as a “sale” or “sharing” of personal information, and Section 4b explains how to opt out. We may share information in the following circumstances:
- Within Your Organization: Business data you enter, including a team member's location during active jobs when live tracking is enabled, is visible to authorized members of your organization according to their role and permissions.
- Service Providers: We share data with vendors that help operate the Service, including payment, hosting, authentication, messaging, email, error monitoring, maps, and mobile subscription providers. They may process data only for the contracted services they provide to us.
- Advertising Partners: When you visit our public marketing website, Google and Meta receive limited identifiers (such as cookie or device identifiers, IP address, and the pages you viewed). If you create an account, we also send a one-way encrypted (hashed) version of your email address so those platforms can measure which ad led to the signup. See Section 4b.
- Legal Requirements: We may disclose information if required by law, regulation, legal process, or government request.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction.
- With Your Consent: We may share information with your explicit consent for purposes not described in this policy.
4a. SMS/Text Messaging
Businesses that use FieldTempo may send text messages to their own customers through the Service, including appointment and job reminders, “on the way” notifications, invoice and payment-link messages, service follow-ups and review requests, and two-way replies to customer questions. Customers provide consent to receive these messages by giving their phone number and agreeing to be texted (when booking a service, when a business adds them as a customer, or by texting a keyword such as START).
- No sharing of mobile information: Mobile phone numbers and SMS consent are used solely to deliver messages between a business and its customers. We do not sell, rent, or share mobile opt-in information or phone numbers with third parties or affiliates for their own marketing or promotional purposes. Numbers are shared only with our messaging provider (Twilio) strictly to transmit the messages you request.
- Message frequency: Message frequency varies based on your interactions with a business (for example, per scheduled job, invoice, or reply). You will not receive a fixed number of messages.
- Message and data rates: Message and data rates may apply, depending on your mobile carrier and plan.
- Opting out: You can opt out at any time by replying STOP to any message; reply START to opt back in, or HELP for assistance. Opting out stops further messages from the business you replied to.
4b. Advertising, Analytics, and Retargeting
We advertise FieldTempo on Google and on Meta platforms (Facebook and Instagram). To measure whether that advertising works, and to show follow-up ads to people who have already visited us, our public marketing website may load tracking technologies from those platforms after you accept optional tracking. This applies to our marketing pages and account signup, not to the business data you and your team enter into the Service, which is never used for advertising.
- What is collected after consent: The Google Ads tag and the Meta Pixel may set cookies and collect online identifiers, your IP address, browser and device information, the pages you view on our marketing site, and the ad click that brought you here.
- Retargeting: These platforms group visitors into audiences (for example, people who viewed our pricing page) so that we can show FieldTempo ads to those people afterwards on Google, YouTube, Facebook, and Instagram. We give the platforms audience membership signals; we do not receive a list of who saw our ads.
- Signup measurement: When you create an account, we send Google and Meta a one-way encrypted (SHA-256 hashed) version of your email address so they can match the signup to an earlier ad click. The hash cannot be reversed back into your email address by us. We do not send your phone number to any advertising platform.
- What we never do: We do not upload your client records, job data, photos, or location data to any advertising platform, and we do not use them to build advertising audiences.
Your choices. You can opt out of personalized advertising directly with each platform. Google provides My Ad Center and Meta in your Meta Ad Preferences. You can also reject optional tracking or reopen Cookie settings from the footer. We treat a supported Global Privacy Control signal as an opt-out and block optional advertising tools. Residents of California and other U.S. states with comparable laws may opt out of the “sale” or “sharing” of personal information for targeted advertising, and of targeted advertising itself, by emailing support@quantumlooplabs.com. We will not discriminate against you for exercising these rights.
5. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Service. If you cancel your subscription, your data remains accessible for 30 days after cancellation. After that period, we will delete or anonymize your data, unless we are required to retain it for legal or regulatory purposes.
6. Data Security
We implement industry-standard security measures to protect your information, including:
- Encryption of data in transit (TLS/SSL) and at rest.
- Secure cloud infrastructure with regular backups.
- Access controls and authentication mechanisms.
- Regular security assessments and monitoring.
While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
7. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate or incomplete data.
- Deletion: Request deletion of your personal data, subject to legal retention requirements.
- Portability: Request a machine-readable copy of your data.
- Objection: Object to processing of your data in certain circumstances.
- Opt out of targeted advertising: Opt out of the “sale” or “sharing” of your personal information for cross-context behavioral advertising, and of targeted advertising generally. See Section 4b for how.
To exercise a right, appeal a decision, or submit a request through an authorized agent, contact us at support@quantumlooplabs.com. We may verify your identity and authority before completing a request and will respond within the period required by applicable law.
8. U.S. State Privacy Disclosures
Where applicable state privacy law applies, you may request access, correction, deletion, or portability; opt out of targeted advertising, sale, or sharing; and appeal a denied request. We do not sell personal information for money. Optional advertising disclosures may be treated as sale, sharing, or targeted advertising under some state laws, so they remain off until consent and can be disabled through Cookie settings. We do not use sensitive personal information to infer characteristics about you.
We honor supported Global Privacy Control signals for the browser or device that sends the signal. We do not discriminate against you for exercising privacy rights.
9. International Users
QuantumLoopLabs LLC is based in the United States. If you use the Service from the European Economic Area, United Kingdom, or another jurisdiction, your information may be transferred to and processed in the United States and other countries where our service providers operate. Depending on the processing, we rely on performance of a contract, legitimate interests, legal obligations, or consent. Where required, we use contractual and other safeguards for international transfers. You may also complain to your local data protection authority.
10. Third-Party Services
Our Service uses or integrates with third-party services including Stripe (payments), Supabase (hosting, database, and authentication), QuickBooks (accounting), Twilio (text messaging), Brevo (email delivery), Mapbox (maps and routing), Sentry (error monitoring), RevenueCat (mobile subscription support), Google Ads and Meta (optional advertising measurement and retargeting), and Rewardful (optional affiliate referral tracking). Availability and use can depend on your plan, device, choices, and enabled features. Each service has its own privacy policy governing the use of your information. We encourage you to review their respective policies.
11. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child without parental consent, we will take steps to delete that information.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
